About the role
\nReporting to the Senior Retail Operations Manager, the Retail Store Maintenance Coordinator acts as the key link between Head Office and the Charlotte Tilbury store network, ensuring excellent operational and maintenance standards across the UK and AUS regions.
\nWorking closely with the Retail Operations, VM and Store Design teams and relevant suppliers, the role ensures all stores are maintained and presented to brand standards.
\nThe coordinator provides hands-on support to stores across all channels and the wider Retail team, contributing to maintenance and operational projects that drive brand standards, efficiency, customer shoppability and experience.
\nIn this role, you will:
\nManage the relationship with the appointed maintenance provider, VM and Store Design suppliers, ensuring all jobs are completed within agreed service level agreements (SLAs) and that purchase orders are raised in line with approval processes.
\nEnsure new stores are added to the maintenance programme following the completion of their warranty period.
\nSupport compliance with all health and safety, statutory, and landlord requirements across the store estate.
\nPartner closely with Store Design to develop and maintain comprehensive store profiles, improving efficiency and consistency across the estate.
\nPartner closely with the VM team and Retail Operations Manager to ensure stores are operationally ready for seasonal campaigns.
\nAct as a key point of contact across Retail, VM, and Store Design, liaising directly with suppliers to ensure stores meet brand, operational, and visual standards.
\nSupport the Retail Operations and Maintenance teams in the development and delivery of effective maintenance strategies across all channels.
\nSupport the planning and execution of all planned preventative maintenance (PPM) and reactive maintenance across the UK and AUS regions.
\nSupport in raising Retail Operations purchase orders via NetSuite and cost control and accurate financial tracking, aligned to maintenance budgets.
\nSupport the Retail Operations Manager and Project teams in consolidating, implementing, and maintaining the Retail Operations Manual, ensuring information remains accurate and up to date.
\nAct as a conduit for store feedback by assisting in the management of the Retail Support inbox and escalating recurring issues or risks, while also coordinating contractor access, permits, and site readiness.
\nPartner closely with the Visual Merchandising (VM) team to ensure store environments support VM guidelines and seasonal campaigns by identifying and prioritising corrective action for maintenance issues.

\nYou have demonstrable experience in a similar role within Retail Store Maintenance.
\nExperience liaising with cross-functional teams including VM and Store Design, with strong communication skills and the ability to collaborate effectively with VM, Store Design and the Retail Operations team.
\nWell-organised, process-driven and logical thinker, who can coordinate multiple stakeholders with ease both internally and externally.
\nAn excellent communicator: confident, a proactive problem solver, you are comfortable working to pace and can ruthlessly prioritise changing priorities.
\nYou have exceptional organisational skills and are customer-centric!
\nKeen eye for detail with the ability to assess store environments with a VM-informed perspective.
\nYou have good capability to ensure maintenance work aligns with original design intent and luxury finishes.
\nStrong grasp of statutory maintenance requirements such as fire safety, asbestos management and electrical compliance; with the ability to benchmark quotes, negotiate SLAs and monitor performance.
\nYou are a self-starter, with the ability to work independently as well as part of a team to collaborate and drive team success!

\nYou have demonstrable experience in a similar role within Project Management in Store Design, alongside experience in managing the approval process for retail stores in all types of environments. You have an exceptional eye for detail and great vision on how to use spaces and commercial opportunities. You are skilled in the visual, written and verbal communication of design issues. You are an excellent communicator, confident and comfortable presenting, able to influence and effectively articulate your point of view. You have exceptional organisational skills and can manage multiple stakeholders with ease! You thrive working to pace, you are able to ruthlessly prioritise and can manage multiple deadlines at anyone time with ease. Decisive problem-solving skills with regards to construction materials and methods a must, with an awareness of design trends and materials. You have a strong understanding of basic mechanical, electrical, plumbing, and structural concepts.
