Procurement Strategy & Operations Intern

Join our Procurement team for a comprehensive, 360-degree rotation across the entire procurement lifecycle. This isn't just a 'support' role - you will be embedded in three core teams to understand how a global organisation sources, secures, and manages its external partnerships.

The rotation includes:

Sourcing: Learn how we identify vendors, conduct RFPs (Request for Proposals), and negotiate the best value for the business.

Contracts: Work with the Contracts team to oversee the entire Contract Lifecycle Management (CLM) process, including intake, contract review and negotiation, signatures, and archiving.

Procurement Operations: Support the end-to-end Procure-to-Pay process, including requisition and PO creation, supplier onboarding, and invoice coordination. Learn how procurement policies and approval workflows are applied in systems like Zip, Coupa, and Oracle.

Digital Transformation: Gain hands-on experience in Digital Transformation by mastering how to bridge the gap between business strategy and AI development. This role teaches you to identify automation opportunities through real-world stakeholder interviews, translate those needs into technical requirements for IT teams, and manage a project lifecycle from start to finish.

As part of our company-wide AI initiative, you will be tasked with identifying an efficiency bottleneck within the procurement lifecycle. Using tools like Gemini or OpenCode, you will design and propose (or build!) an automated solution.

Key responsibilities include:

Understanding how our workflows work today and developing insights to optimise

Using AI to automate everything possible in workflows

Working in our current spend analysis tool and supporting optimising spend analytics and dashboarding

Supporting category managers in research and market intelligence for active sourcing events

Assisting in data cleansing and management within our Procurement systems

Collaborating with cross-functional stakeholders (Finance, IT, Legal)

Final Capstone: Deliver a professional presentation to executive leadership on your rotation findings and your AI project's impact.

About the Team

Procurement sits within Finance and partners closely with Hardware BUs and to enable rapid execution with Finance-grade visibility and audit-ready controls. The team operates as an enablement and operating-system layer across procurement operations, systems, data, and governance—working cross-functionally with Finance/Accounting, Legal, Security/TPRM, Trade, Logistics, and Enterprise Platform Technology.

About the Role

We are seeking a hands-on leader to co-design, build, and run the procurement operations backbone for OpenAI’s hardware programs. This is a design-and-do role: you will build the operating enablement model (systems flows, governance, processes, and RACI/DRIs) that enables product teams to move at prototyping and production speed—while ensuring Finance, Legal, Security, and Trade requirements are met and audit-ready.

You’ll be responsible for:

Strategy & operating model

Co-design and maintain the operating model with BU and functional leaders—defining what is standardized vs. BU-specific, clarifying central vs. embedded responsibilities, and documenting RACI/DRIs and escalation paths.

Build the operating system (policies, playbooks, tiered approval lanes, templates) so prototype speed and production-grade controls can coexist.

Define and run escalation paths, exception handling, and operating cadences to keep launches moving while maintaining compliance and audit readiness.

Delivery & execution

Stand up and run the launch operational readiness (back-office) cadence for hardware programs—defining required controls, SLAs/DRIs, and cross-functional handoffs across supplier onboarding, purchasing/receiving signals, landed cost, and CapEx/asset tagging.

Operationalize supplier onboarding/vendor master controls, PO lifecycle governance, receiving/inspection signals, 3-way match readiness, and tooling/CapEx capture controls.

Ensure Finance-grade visibility via required part/PO metadata and reconciliation routines so Finance can track materials, receipts, liabilities, and supplier payments.

Define requirements and controls for logistics partner performance (with Logistics leadership), including landed-cost visibility, invoice reconciliation, and SLA measurement.

Define and ensure controls/data handoffs for finished-goods flows with manufacturing partners (e.g., title transfer, reporting cadence, data ingestion).

Run operational readiness forums and unblock paths across Procurement, Logistics, Finance/Accounting, Legal, Security/TPRM, and Trade; document DRIs and outcomes tied to launches/milestones.

Serve as primary cross-functional escalation point for centrally owned procurement-ops issues that block launches; partner with BU leads on BU-owned execution topics.

Systems & data

Define requirements, workflows, and controls for hardware procurement ops; partner with Enterprise Platform Technology and BU teams to design/deliver integrations across intake, onboarding/risk, and select ERP module rollouts.

Partner with Finance Systems and Accounting to define metadata and reconciliation processes so the org can reconcile materials, spend, receipts, and payments; deliver interim controls where integrations are not yet in place.

Define/recommend/govern procurement-required BOM/AVL attributes (with BU engineering/supply chain) and maintain interim reconciliation workbooks where systems are incomplete.

Governance, risk & compliance

Convene cross-functional forums with Legal, Security/TPRM, Trade, and Finance to resolve time-sensitive sourcing/compliance questions, route exceptions, and document DRIs/outcomes for audit readiness.

Maintain a direct procurement operations / supply chain enablement risk register and drive mitigations for supplier, trade, and regulatory risks.

Establish audit-ready evidence practices for key controls (supplier onboarding, approvals, receipts/3-way match, landed cost, CapEx tagging, and exceptions).

People & change

Hire and lead a small enablement team (e.g., Procurement Systems Admin, 3PL/4PL, supplier onboarding readiness/RM, embedded pod leads to support BUs).

Translate execution pain points into structural fixes; champion change management through coaching, training, and pilots.

Build strong operating rhythms and partnerships with BU teams, Finance/Accounting, Legal, Security, Trade, and Enterprise Platform Technology.

Automation & continuous improvement

Embed automation and AI into intake, onboarding, PO-to-fulfillment, inventory visibility, and dashboards to reduce manual work, improve cycle times, and strengthen compliance.

Define and track Procure-to-Pay operational KPIs; continuously improve workflows and controls based on data and user feedback.

We’re looking for someone with:

Experience running direct procurement operations and supply chain operations in fast-moving hardware organizations (NPI → production).

Practical experience with ERP and PLM/MRP integrations, plus asset accounting concepts (tooling/capitalization).

Strong bias for action; delivers pilots that are production-useful within 60–180 days.

Collaborative operating style; partners with BUs to co-design responsibilities while owning the operating system and delivery.

Working knowledge of trade, compliance, and supplier quality.

10+ years

About the Team

Our Procurement team enables OpenAI to scale responsibly, efficiently, and at speed. We partner closely with stakeholders to accelerate business priorities while maintaining strong commercial rigor, compliance, and operational excellence. We run the high volume sourcing engine across the company, including quick turn negotiations, rapid cycle times, complete diligence packages, consistent contract quality, and strong vendor controls. The Sourcing Delivery team ensures Strategic Sourcing can scale without slowing down the business.

About the Role

As the Sourcing Delivery Lead, you will run the high volume negotiation and contracting engine that keeps the business moving. You will support routine, lower spend, lower complexity commercial work that is often time-sensitive and operationally critical. Your team’s speed, judgment, and customer service will directly unblock teams and keep OpenAI operating at pace.

You will lead the front-end of sourcing engagement as a trusted sourcing partner, guiding requests from intake through negotiation and signature. This is not a transactional, system-processing role. It is a commercial leadership function that pairs operational discipline with strong judgment to deliver fast cycle times, predictable SLAs, and consistently high contract quality at scale.

You will lead a team of Category Coordinators, with a Contract Delivery Lead reporting to you, and you will run the sourcing execution layer from first stakeholder engagement through signature, moving quickly within clear guardrails and escalating cleanly when required. You will serve Strategic Sourcing Leads as a core execution partner, turning strategy into practical playbooks and executing high volume, low risk negotiations so they can stay focused on complex deals and long-term priorities.

You will partner closely with Procurement Operations, who owns the enabling systems, policy, and process infrastructure, while your team owns stakeholder engagement, negotiation execution, and contracting throughput. You will also partner closely with Legal to build and maintain contracting playbooks, a clause library, and approved fallback positions that keep standard agreements moving quickly within guardrails.

Responsibilities

Lead and scale a high-performing sourcing execution organization (Category Coordinators, onsite and nearshore commercial negotiators, plus a Contract Delivery Lead), setting clear standards for speed, quality, and stakeholder experience across high-volume, lower-complexity work.

Design and run the sourcing execution operating model from first stakeholder engagement through negotiation and signature, with crisp decision rights, clear escalation paths, and predictable SLAs.

Own low-risk contracting throughput end to end, including disciplined redlining within guardrails, approvals coordination, signature readiness, and post-signature contract hygiene (accurate filing, key term capture, auditability).

Apply AI intentionally to increase speed and consistency, embedding AI-assisted approaches into workflows (intake triage support, drafting and clause analysis, redline acceleration, diligence checklists) while maintaining confidentiality, controls, and contract quality.

Co-build with Legal the enablement layer that keeps low risk deals moving, including playbooks, clause library, approved fallback positions, and escalation thresholds that ensure compliance and speed.

Requirements

We’re looking for a leader who has built and run high volume procurement execution and contracting teams in fast-scaling environments, and who brings a high bar for speed, quality, and stakeholder experience.

This role is based in San Francisco, CA. We use a hybrid work model of 3 days in the office per week and offer relocation assistance to new employees. Travel is expected up to twice per year to support distributed delivery operations.
